Summary

The American Association of Nurse Practitioners (AANP) Corporate Council provides companies with exclusive opportunities to connect with over 385,000 licensed nurse practitioners (NPs). Membership offers direct engagement with AANP leadership, marketing and communication benefits, participation in conferences, and opportunities for research and advocacy. In addition to the Corporate Council, AANP offers various partnership opportunities, including advertising, project-based partnerships, collaborative alliances, educational opportunities, research opportunities, and conference sponsorships. This document outlines the business requirements for managing Corporate Council memberships and partnerships efficiently, ensuring automated and streamlined processes for both internal and external users.

It can be a bit confusing to understand the differences between Corporate Council and Partnerships.

The Corporate Council offers a structured membership with tiered benefits, focusing on long-term engagement and strategic collaboration with AANP leadership and members.

Corporate Council memberships are priced from $3,000 to $20,0000 per year. Therefore, they are more often than not paid by check or wire transfer with a provided invoice rather than through a online portal with a credit card. There are a few CC members that pay partial payments allocated throughout the year, and their membership start date is at the date of commitment not when paid.

Partnerships, on the other hand, are more flexible and project-specific, allowing companies to engage in various collaborative activities such as advertising, research, and education without the structured membership framework. Partnerships may not have related financial transactions, but may have a contractural agreement that needs to be tracked.

Currently the Corporate Council participates in the National Conference, making purchases like exhibit booths and product theaters, focus groups, and other opportunities. Partnerships may also participate in the National Conference, but may not have the same level of engagement as Corporate Council members. However, while these ARE paid opportunities, they are currently tracked outside of Aptify, with our external conference management partner.

While these types of activities are happening outside of Aptify, we'd like to opportunity to track these items manually (or automated) within Salesforce moving forward.

Internal User Requirements

  1. Prospective Member Tracking:

    • As an Internal User, I should be able to track prospective corporate council members as leads.
    • As an Internal User, I should be able to track new corporate council prospects and build a sales pipeline to manage acquiring new members.
  2. Onboarding and Membership Management:

    • As an Internal User, I should be able to onboard new corporate council members by capturing their company details, primary contacts, and membership level in the system.
    • As an Internal User, I should be able to associate multiple contacts from member organizations (accounts) and track changes over time with alerts when contacts leave.
    • As an Internal User, I should be able to create an invoice that can be viewed online and downloaded by a Corporate Council prospect to provide payment for membership via check or wire transfer.
    • As an Internal User, I should be able to create an invoice that can be viewed online and downloaded by renewing Corporate Council members to provide payment for membership via check or wire transfer.
    • As an Internal User, I should be able to create an invoice that is visible to an external user for review once the renewal application or new application is completed and received. A check or wire transfer will be taken and once confirmed, the new or renewing Coporate Council membership is given a custom start and end date as requested by the company.
  3. Automated Communications:

    • As an Internal User, I should be able to generate automated communications like renewal reminders, event invites, and acknowledgment emails through the system.
  4. Document and Contract Management:

    • As an Internal User, I should be able to upload relevant documents and link them to the appropriate corporate council member or partnership record for easy access and record keeping.
    • As an Internal User, I should be able to track and manage contractual agreements for partnerships that do not involve financial transactions.
  5. Reporting and Analytics:

    • As an Internal User, I should be able to run customized reports on metrics like membership retention, engagement levels, and ROI to evaluate program performance over time.
    • As an Internal User, I should be able to access insights and dashboards that provide a holistic view of program performance, opportunities for improvement, and next best actions.
  6. Collaboration and Partnership Management:

    • As an Internal User, I should be able to collaborate with other teams on partnership management by viewing participating contacts, meeting updates, and obligations in one centralized system.
    • As an Internal User, I should be able to track partnership metrics like participation rates, goals achieved, and ROI over multiple years in the system.

    • As an Internal User, I should be able to integrate the system with finance/billing platforms to facilitate seamless invoicing and payment processing for members.

  1. Contact and Membership Management:

    • As an external user, I should be able to complete a form to show interest in joining the corporate council resulting as a lead in the backend system.
    • As a Corporate Council Member's Associated Contact, I should be able to update my organization's contact details directly through an online portal if needed.
    • As a Corporate Council Member's Associated Contact, I should be able to view my organization's membership history, uploaded documents, and details in one centralized portal for easy reference and record keeping.
  2. Automated Communications:

    • As a Corporate Council Member's Associated Contact, I should be able to receive automated communications that keep me informed about important updates, events, and renewal reminders regarding my membership.
  3. Event Registration:

    • As a Corporate Council Member's Associated Contact, I should be able to RSVP and register for events (such as the Winter meeting) through a simple online process within the system.
